Greetings and Welcome - to CatholicServices.NET's "csnmail" e-mail and chat. We hope that you will enjoy using csnmail (fka mail-now). To make your introduction a little easier, here are a few thoughts on how how it works.


Introduction: Remember -

Q. How do I get to my (access) "csnmail" e-mail?

A. To access your "csnmail" account, go to the URL: http://csnmail.net

On the "Sign On:" screen:

On the "Choose Action:" screen, you have five options:

Read Mail / Write Mail / Chat / Settings / Quit, all done

(click on the desired option)

General Instructions:


If you click on "Read Mail", the following items are available to you.


"Read Mail" = Viewing your Messages -

click on the " underlined caption " in the "Subject" column to view a message

Note that after you read the message, the little "envelope" will no longer appear

To "Take action on checked messages", Check off all or individual e-mail messages for action

You can "Delete" the messages or "Move to Folder:" as desired

You can "reply" to a message you have read, or forward it by also clicking on "reply" but in this case you simply replace the address of the reply person with a new address.

Note: In Setup you have the option of consolidating your e-mail by listing the addresses of

your various e-mail boxes and having "csnmail"gather all the new e-mail for you.

If your e-mail has "Attachments", they will be listed under the "Attachments" box - simply click on the "name of the file", and save it to an appropriate location on (for example) your "c" drive.

At the bottom of the Messages page, you have the option to

"Take action on checked messages" .


"Folders" = maintaining folders for storage of e-mail

In the Folders area, you have a listing of the names of the current folders you have set up, the number of messages located in each folder, and the option to "delete" certain types of folders.

You can also have a "Create New Folder" area. Simply enter in a "Folder Name", and hit the "Create" button. Use these folders to maintain your e-mail as it arrives.

"Write Mail" = is for writing your Messages -

You can start the "Write Mail" process in either the "Write Mail" or "Addresses" area. The "Addresses" area is probably the area where you will most often start, because your e-mail addresses are listed there. You also have the option of entering a "Subject:" and a "Cc:" (Carbon Copy). For sending multiple address, list all the desired nicknames or complete e-mail addresses separated by a comma.

After "Writing Mail" the message, go to the bottom of the screen for "Message Options". When sending e-mail to folks in the "csnmail" system, you can request "Receipt on Delivery" (e-mail has been delivered to the server), or "Receipt on Opening" (when the individual has opened the e-mail message) or "Delete on Opening". For e-mail addresses outside the "csnmail" system, only the normally checked "Save Original" is available. With so many different types of e-mail systems, we are not able to offer these options at this time. Maybe someday, but it will depend on internet development in general.

You can send files along with your e-mail message (click on "Attachments" and locate the file), you can "Save Draft" of the file, if you are not ready to send it; you can "Send" the message or you can "Cancel" the message.

Note: Because this is "webcentric" e-mail, it may perform a little different from other e-mail systems you have used. For example, if you "attach" a file after checking Message Options, you will need to "re-enter" your "Message Options" if you had previously check them off.

Note: You can read a message that you have aleady sent by going to "Folder" and clicking on the "Sent" box. To read the box, scroll over the the far right of the page, and click on the caption that tells the subject of the e-mail. You can also COPY THE SENT MESSAGE and use it in a new e-mail if you want to send the same (or similar) message again to someone else. To so this, simply move the cursor to the beginning of the part you want to copy, hold down the shift and select (using the arrows) the area to copy. Once it is selected, do a "Control C" to put it on the clipboard. Go to "Compose" or "Addresses", start your e-mail and then do a "Control V" to place the copied material in the body of the new e-mail message.

UNSEND MESSAGES - This feature is easy to do - simple change folders to the "Sent" folder by Clicking on Folders and selecting Sent Messages - then click on the message in question. When the message comes up, simple click on the "Unsend" button. If the message has not been opened already, it will be "unsent". After this, click on folders, and return to the "Inbox" or whereever you like.

NB - KEEPING COPIES OF SENT E-MAIL: If you want a copy of an e-mail you are sending, simply put your "nickname" in the CC area of the e-mail being sent. (for information on nicknames - see below)

"Addresses" = getting your e-mail addressed - in this area, you have five (5) options.

Options: 1 & 2 - You can access (or delete) an e-mail address in your "Personal"

e-mail address book, or

Options 3 & 4 - You can access (or copy to your Personal e-mail address book) an

e-mail address from your "Organization" address book, or

Option 5 - You can "Add New Entry" to your Personal e-mail address book.

Nicknames: Using the "Add New Entry" area, you can create a Nickname (short names) for longer e-mail addresses. Simply fill in the "Nickname" box with the corresponding "Address(es)" and click on the "Save New Entry" button.

NB - if you want to KEEP a copy of an e-mail you are sending, set up a Nickname for yourself. You might consider using the initials of your first and last name (to keep it short).

Note #1: Remember, that a Nickname can be used for a "list of e-mail addresses - just separate each e-mail address by using a comma".

Note #2: After you enter a Nickname, it appears on your Nickname list. You can then start the "Compose" process from this area. Just click on the "Nickname" of the individual (or group) to whom you want to send e-mail, and WebMessenger will immediately start the compose process with that e-mail address already set up in the e-mail you are writing.

Again, if you want to send messages or "cc" messages to multiple addresses, either type in the full e-mail address or nickname separated by a comma. EG carol, ted, bill, alice

For IC, the Organization area has an additional feature, a listing of e-mail addresses from the Parish, schools and agencies who are a part of csnmail.

"Settings" = is available to do three things:

+ Change passwords (enter the Old Password, then the New Password and Confirm New, then click on the "Update Password" button).

+ Consolidate your POP e-mail:

        Enter your other e-mail addresses (POP Login Name, POP Password, POP Server Name) and check or leave blank the option "Leave Messages on server?"

        Note: If you decide not to leave the e-mail messages on the server, then you can designate "Deliver Messages to Folder:" Complete the entry by clicking on "Add Account".

        csnmail will gather all your e-mail from the listed POP e-mail addresses, thus eliminating the need to check each individual POP e-mail location all the time.

+ Watch List - More on this later, but basically, you will be able to select certain site to monitor.

"Finished" = If you are finished with your e-mail session:

MAKE SURE to "Quit, All Done" after you are finished with the session. If you ARE NOT finished with your e-mail session, you can, for a period of time, re-access your e-mail area by clicking on the URL in the "history listing" of your browser. While this is a convenience feature, you should be careful also. If you are in a public location or at some common use computer, unless you "Quit, All done", since the "URL address" will remain on the computer in the "history area", someone else could access your e-mail account if they did so before the "timeout" period. While CatholicServices.NET has a "timeout" feature on the URL listings where by no one can access your e-mail without the appropriate "username and password", before the "timeout" takes place, someone else could access the e-mail. So, IF YOU ARE FINISHED WITH YOUR E-MAIL ACTIVITY, " LOGOUT ".

CHAT CONFERENCING

If you click on "Go to Chat", the following items are available to you.

"Rejoin a conference" (click on the desired option and enter the reference number for the chat)

"Join a conference"

"Host a conference" (click on the desired option and then click on the "Next" box)

Under the "Join a Conference" option, you are able to joint a conference that has already been set up by someone. Simply check the list of conferences available, and "click on the conference of your choice". "Enter your username", e.g. "Bob", and the "Select your comment color:". If the conference host has designated a privacy code, enter the word in the "Enter Privacy Code" box and click on the "Begin" button.

On the next screen, the name of the Conference will appear at the top, and you can communicate with the conference in two ways:

You can type in dialogue by using the "Type Hear" box, or you can

Send a file of any type (".txt" file, spread sheet file, ".jpg" file etc.) by listing it in the

"Send File" box and clicking on the "Send" box.

To clear a conference, click on the "Clear Conference" button,

At the end of the conference, click on the "End Conference" button.

When the conference is over, you are allowed the option to "Return" at a future time if you like.

If you are the Host of a Conference, you want to choose the "Host a Conference" option at the beginning. When you do this, the "Host a Conference" screen will appear, and you then can fill in the various boxes with appropriate information, and "Do you want a private conference", check the "Yes" box and establish a "Privacy Code". You will need to communicate this Privacy Code to the intended participants of the conference in advance so they will be able to access the conference.

When you sign on, you will be given a reference number. If you get blown off during a conference, you can reenter using this number. Also, a copy of the number is posted automatically to your e-mail box in case you lose or forget the number.

When the conference has ended, you have the option to click on the "Save Transcript" button. You also have the option to return to the conference by clicking on the "Return" button.

If you save a transcript file of the meeting, it will be saved in the "zip" format and can be opened by using the standard "zip" utilities.

EXTRA PAGES & "FILE / WEB PAGE UPLOAD FEATURE"

Introduction:

CatholicServices.NET gives our members capabilities for "extra pages" for your School, Parish & Other sites, e.g. a web page for each classroom, a page for the CYO group, the parish council etc. Extra site pages are available through your "csnmail" e-mail address. These extra pages are, then, "pages with separate user names and sign-ons".

NOTE: As you plan your pages, review the groups that will participate with the sit, you may need additional csnmail E-MAIL boxes - one csnmail e-mail box for each classroom etc.

Here's how the extra pages work. It's really simple.




1) When you sign on to your csnmail e-mail address, on the first screen, click on the word "Extras". Located at the bottom of that page is an area called:
Personal File Manager for "http://csnmail.net/~"yourusername"/"yourfilename.htm"

2) Click on " Open File Manager " - an area entitled File Manager appears.
You might want to enlarge the box, but this is the " upload area ".

3) You can upload your web page (.htm), as well as uploading any graphic (.gif) or picture (.jpg) files you like. Browse for the file, and click on the "upload" button - its done. As the files are loaded, they appear on a list in the lower area of the page.

4) When all the files are loaded, of course, you can go to your personal URL area
"http://csnmail.net/~"yourusername"/"yourwebfilename.htm" and view the web site. That's it!

You are done! You now have your own web page area. You have your own special file area on the server.

The implications of this for all of our folks is extremely significant.

For schools and parishes who are active on the regular "web page" via CatholicServices.NET, you can now link out to "any number of additional pages", all of which can be prepared and uploaded by the individuals who have the interest in the page.

Consider just one example. We have set up numerous schools with a "csnmail" e-mail address for each classroom. So Grade 1 at "St. School" has an e-mail address. Now, that class can produce a web page(s) by simply preparing the page and using their csnmail e-mail account and the above protocol (steps 1 - 4)to upload it. The school "IC/Webmaster", who most often maintain the MAIN PAGE, now simply "creates a link" to the Grade 1 page and helps them to create a "return link" on their page.

All of the sudden, you can have a major site, but unlike "so called custom site", your site allows the work to be divided amongst many folks - folks who are closest to the "information" that appears on the various webpages. What could be better?

The School Principals can create a page via their csnmail e-mail accounts, and update it whenever necessary and from any where.

The potentials here are significant. For those of you who do not have a csnmail e-mail address for each classroom, please e-mail us the names of the accounts you want set up, and we will get them going for you.

Think about it . On the Parish side, the Pastor can create a page and load it up directly from his csnmail e-mail account. Again, the IC/Webmaster would coordinate the links.


These pages must be ".htm" pages, but they can be prepared in many different software - to include using Netscape Composer. Netscape Composer can effectively act like a "word processor". When you are done with the file, you simply save it as a ".htm" file. You are then ready to upload it to your personal site.

The Five (5) Minute Webmaster Course:

1. We are assuming you are able to get to the internet. Print out this page for reference as you go through this procedure..

2. Access Netscape (These instructions are about preparing a ".htm" file- we are explaining how to do it using Netscape Composer, but, of

course, you could prepare this page prep using any software that allows for saving the file as a ".htm" file - but here we will talk about

Netscape)

3. In Netscape, Click on "Communicator" (next to the "help" button - top row) & then Click on "Composer" (Alternative, hold down the control

button and hit the number " 4" ) - This will open up Composer with a blank page.

4. Simply type the following onto the page - " Wow - I knew I could do it! "

5. Click on " file " in the upper left hand corner (top row) and then click on " save" (Alternative, while in the page, after the typing, hold

down the "control button" and hit the " s " key.

6. NOTE: WATCH WHAT " FOLDER " THE FILE IS GOING TO BE SAVED INTO, OR

DESIGNATE "MY DOCUMENTS" and save the file with the title "test.htm" (You will need the folder name to access the file below when you are getting ready to upload it to the web.)

---------------- Phase 2 - Upload the file to the web via your e-mail box -----------------------

7. Access your csnmail e-mail box. Go to http://csnmail.net and enter in your username in the "Member Name" and password in the "Password "

area then click on the "Sign In" button.

8. Click on the word "Extras"

9. Look down the page to the words "Personal File Manager for" and then notice YOUR URL address: It is "http://csnmail.net/~yourusername/

This address lacks only the the name of the file you prepared in Netscape (which we know is "test.htm") - ok , let's continue

10. Click on the " Use File Manager " line.

11. When the "File Manager" screen comes up, you have the ability to "Browse" for a file. Go ahead and "click on the browse button " and find the file you prepared above - remember, it is called "test.htm" and is is located in the " My Documents " folder (or where ever else you put it)

12. When this file is accessed, click on the file name (test.htm), then click on the "open button" and the file name will appear in the box labeled "file".

13. Then, Click on the "Upload" button - and wait --

14. In a moment or so, the file name will appear under the word "Files" (shown in the area just below the Actions area) - you will then know that the file has been successfully uploaded.

---------------- Phase 3 - Visit YOUR site and view the uploaded file -----------------------

15. Now you can go to your URL (as described above) and see the file. (note your URL should be:

http://csnmail.net/~yourusername/test.htm)

16. You should be able to see the file (test.htm) that you uploaded with the message - "Wow - I knew I could do it!"

Congratulations - you are now a "webmaster", be it a humble beginning webmaster, but a webmaster none the less.

---------------- Phase 4 - Establishing "hyper links" to your new page(s) -----------------------

Note: Now that you have uploaded a new page via your CSNmail account, either you or your webmaster will probably want to establish a link to the new webpage from any one of the other pages on your site (or elsewhere). If you were simply uploading a "revised .htm page", the original link(s) that was in place will still be valid and no new link will be necessary.

It is very easy to establish a new link, but you must be careful to remember a few points -

- Remember where you are when you are working on your computer - i.e. are you "out on the internet in Netscape or Internet Explorer" looking at a page, or are you in, e.g. "Netscape Communicator Composer page or Microsoft Word (or other)".

17 . You are going to "cut and paste the webpage address into the insert box. Basically you want to go to the web, (do this via using your csnmail account if you uploaded the page via the csnmail system). Go to the file manager, look at the list under "Files" and you will find the new page that you have uploaded. Click on that page name, and csnmail will take you out to that page on the web. (We are getting ready to copy the URL name).

18. Highlight the URL of the file (the location on the web) and do a "Control C" to copy the URL name onto your notepad (you will use this address to establish the link in the file where you want to create the link).

19. While on your LOCAL machine, open the file where you want to place the link in Netscape Communicator Composer Page or Microsoft Word (or whatever program you are using). (We are getting ready to past the URL name).

20. Highlight the copy that will act as the basis for the link (or type in new text that will be the basis for the link and then "highlight that text".

21. Depending on what software you are using, click on the (usually) Insert button and choose "hypertext link". This will open a window which will ask you effectively "what is the URL to which you want the highlighted copy to be linked to" - In this blank box (or box with other text which you will want to highlight), hit a CONTROL V - this will insert the saved URL from step 18. into the box.

22. Generally you then hit the " OK " button to confirm the link and complete the process.

NOTE: If you want to establish a hot link to an e-mail box, you use the following language for the link

mailto:emailname@(use the e-mail address here)

23. VERY IMPORTANT - REMEMBER TO SAVE THE REVISED FILE with your changes.

24. Go to the file manager in csnmail and upload the revised file with the new link in it.


This process is very simple, but given the many different software programs, it may be done a bit differently from what we have described above. If you need some help, let us know.

Obviously, there is area here to grow. You could consider taking files that you have already prepared in a word processor, and "cut and paste

them" into a New Netscape file, save it out with a different name and then upload that file. Maybe you have an "announcement file" that might be appropriate.


Setting up your organization (e.g. a school) with CSNmail:

An example: Setting up a School with CSNmail!

Introduction:

This page gives you an example of how you might set up a school using CSNmail and how this relates to the CatholicNET Front page.

The CatholicNET Front page is accessed at the designated URL (if you do not know this URL, contact us at wcl@csnmail.net).

That front page allows you to put up general information on the school as well as hot links out to other pages. This is where the CSNmail messaging system comes in - it is meant to give you all the additional both Personal and Generic web pages you need to fill out your site and keep it exciting.

So, in setting up the school, we want to set up two different types of accounts:

1. Generic CSNmail Addresses for the various grades and offices - to be used for general communication.

2. Specific Personal CSNmail addresses for administrative folks, teachers, students, family et. al. - to be used for specific personal communications.



1) For example, say the School was St. Arthur School. We might have a username of "sas" for St. Arthur School. In making up a list, we might assign addresses for the first area like this:

sas-k (sas-k@csnmail.net) - for St. Arthur School Kindergarten

sas-1 (sas-1@csnmail.net)- for St. Arthur School Grade 1

sas-nurse (sas-nurse@csnmail.net) - for the St. Arthur School Nurse


2. Specific Personal CSNmail addresses for administrative folks, teachers et. al.

Jane Doe = jdoe@csnmail.net


Using the csnmail messaging system, you can load up additional pages using the " File Manager " located under the " Extras " button. The First Grade might put up a page from their "generic e-mail box" while the First Grade Teacher(s) might choose to put up a "message from the teacher" page from their personal e-mail box.

Communication between, for example, "first grade classes in various schools" might take place using the "generic first grade e-mail address", while a message to the teacher about a student might take place using the teacher's personal e-mail box.

All of the appropriate pages, put up by the various classes, teachers et. al., would be linked out on various levels of control. In general, after the class pages are completed, the web page addresses would be communicated to the "webmaster / IC" who would put up either a "general link" out to a "class page" (where other links would be contained), or put up a "specific webpage link" out to a "specific individual webpage". These initial links would be done on the various school main page via the CatholicNET upload system.

The possibilities are endless, but also provide for control over the links by appropriate folks.

We hope we are making our presentation clearly, but time will tell.



Directions & Tips on setting up CSNmail accounts!

1) All IC (Internet Correspondents) have the ability to put up csnmail messaging / e-mail accounts for all who need them.

In addition to the csnmail accounts including webbased e-mail capabilities, one of the major advantages is the ability to upload webpages via the file manager under the "Extras" key.

So, simply go to designated URL (if you do not know this URL, contact us at wcl@csnmail.net)

2) While it is entirely up to you,
we generally suggest that the full name be just that, without titles, so that in the future if we don't get everyone under Ms., Mr., Mrs. or etc.

3) The
usernames are of your choosing, but a first initial and full lastname are good.

4)
Set up folks with a general password and ask them to change it on line under settings. (Folks usually have "one favorite password" and often don't like to give it out. This way, you use a general password and they don't have to give you their "favorite" - it often works better this way.)

5) As for the
reference organization, simply use your username (or the title for your organization, or the number from the Catholic directory (or whatever, but use it consistantly) so we can group all these for you.

6) When you click the "add box", you will be taken to a new screen that either tells you the the account has been added, or was not added. If the account was not added, it is because the "username" has already been taken. Simply hit the back button, and change the username to a similiar but different name.

7) When the account is finally successfully added, print out the page for reference. (do a "control p" or use the print button to print out the page). If you are setting up accounts for others, you can give this page to them for their personal reference. You say, "Hey Joe - here is a page with the information about your new csnmail account!" - They, in turn say, "Thank you so much, oh great webmaster, you are so kind!" (This is happiness!)

Note: Just one fyi - the computer 'enters
the accounts' into the system at the time you
enter them, BUT, they
become active on the hour. (11:00 am, 12:00, etc.), so,
you will have to wait until the next hour to use the account.
